Excel Data Import & Templates

ImpactMatrix provides a structured Excel Template System for collecting community entity data — designed specifically for workflows where data collection is distributed (e.g., across university research teams, regional partners, or community surveyors) and needs to be validated before entering the production database.


The Six-Step Workflow

Step 1: Admin exports a pre-configured template
Step 2: Template is distributed to data collectors
Step 3: Collectors enter data (Excel validates in real-time)
Step 4: Supervisor reviews and submits the file
Step 5: Admin reviews staged data in the platform
Step 6: Approved data is promoted to production

Step 1: Export a Template

Admins export templates customized by geography and sector:

  1. Navigate to Admin Console → Data Management → Export Template
  2. Select:
    • Country (e.g., Nigeria)
    • Region/State (e.g., Lagos State)
    • Sectors to include: Academic, Business, Government, NGO, Community, Media
  3. Click Download

The template filename encodes the configuration:

Step 2: Distribute to Data Collectors

The template is self-contained — data collectors (students, researchers, community volunteers) need only Excel or Google Sheets to use it.

Built-in Excel validation includes:

  • Required fields marked with asterisks
  • Dropdown menus for sector, entity type, and country fields
  • Email format validation
  • Numeric range checks for quantitative fields
  • Duplicate detection warning

No internet connection is required during data entry.


Step 3: Data Entry

For each entity (organization, institution, community group) being recorded, collectors fill in:

  • Entity name and type
  • Sector classification
  • Geographic details (city, state, country, GPS coordinates)
  • Contact information
  • Key sustainability indicators relevant to the sector

Step 4: Supervisor Quality Check

Before submitting, the assigned supervisor reviews the completed file:

  • Spot-checks for consistency and completeness
  • Resolves flagged validation warnings
  • Consolidates input from multiple collectors into a single master file

Step 5: Import and Review Staged Data

Supervisors or admins upload the master file:

  1. Navigate to Admin Console → Data Management → Import Data
  2. Upload the Excel file
  3. Select the geographic context (country, region)
  4. The system analyzes the file in 5–10 seconds and shows:
    • Valid rows — will be staged for review (e.g., 238 valid)
    • Invalid rows — error details shown with row numbers (e.g., 5 invalid)
    • Quarantined rows — require manual review (e.g., 4 flagged)

Staged data appears in the Review Dashboard:

For each staged entity:

  • Full record preview
  • Data quality score (0–100%)
  • Status: Pending / Approved / Rejected

Step 6: Promote to Production

Admins review each staged entity and take one of three actions:

  • Approve — entity is promoted to the production database
  • Reject — entity is removed with a reason recorded
  • 🔁 Return — entity is flagged for data correction and resubmission

Bulk approval is available for batches where all quality scores exceed a configurable threshold (default: 80%).


Data Quality Scoring

Each imported row receives a quality score based on:

High-quality rows can be approved in bulk. Low-quality rows require individual review.


Use Cases

University Research Partnership A partner university deploys students to collect data on 300+ local organizations. Students use the Excel template offline, the professor supervises quality, and the consolidated file is uploaded to the platform for admin review before going live.

Local Government Census A city government collects baseline data on all registered community organizations ahead of a Voluntary Local Review. The template is distributed to all ward offices, completed locally, and consolidated at the city level.

Consortium Seeding Before launching a new consortium, the platform administrator collects information on prospective member entities across a target region using the template workflow.


Tips for Large-Scale Collections

  • Use the sector-specific tab in the template (one tab per sector)
  • Export separate templates per region to reduce file size
  • Schedule regular import checkpoints rather than one large submission
  • Use the Duplicate Check tool in Admin Console before final import
